Voiding and Refunding Payments

How to void or refund a payment using the Merchant Portal

Updated over 5 months ago

You can manage voids and refunds directly in the Payment Details view by clicking VOID or REFUND. Once you complete the action, the information is automatically forwarded to the cardholder’s bank for processing.

Please note that voids and refunds cannot be reversed.

What’s the Difference?

  • Void: Cancels a payment before it has been captured or settled.

  • Refund: Returns funds after the payment has been captured and settled.

VOID

Use the void function to cancel an authorised payment that has not yet been captured.

  • Voiding sends an online cancellation request to the cardholder’s bank.

  • Once voided, the funds that were blocked during authorisation are released.

  • Voided transactions do not go through settlement:

    • The merchant does not receive the funds.

    • The cardholder is not debited.

Voiding is useful for preventing risks such as suspected fraudulent activity.

REFUND

Use the refund function when a payment has already been captured and needs to be returned to the cardholder.

  • You can refund the full amount or a partial amount.

  • Always use refund for card transactions to ensure the refund is properly linked to the original payment.

This helps prevent disputes and chargebacks.

When Will the Customer Receive the Refund?

  • Refunds are captured at 23:59 and sent to the cardholder’s bank.

  • The processing time depends on the cardholder’s bank.

  • If the customer has questions about the refund, they should contact their bank directly.
